Zoom Integration Guide

Automatically create unique Zoom meetings for every booking.

Overview

Wellbooked's Zoom integration lets you automatically generate a unique Zoom meeting link for each booking. When a guest books an appointment, a dedicated Zoom meeting is created on your account and the join link is included in the confirmation email, calendar invite, and booking detail page. If the booking is cancelled, the Zoom meeting is automatically deleted.

Connecting Your Zoom Account

  1. Go to Integrations. Log in to your Wellbooked account and navigate to the Integrations page from the sidebar menu.
  2. Find the Zoom card. Scroll down to the Video Conferencing section. You will see a Zoom card with a Connect button.
  3. Click Connect. You will be redirected to Zoom's authorization page where you can sign in to your Zoom account and grant Wellbooked permission to create and manage meetings on your behalf.
  4. Authorize the app. After authorizing, you will be redirected back to Wellbooked. A success message will confirm the connection, and the Zoom card will display the email address of your connected Zoom account.

Using the Integration

Once your Zoom account is connected, you can enable automatic meeting creation on a per-appointment-type basis:

  1. Edit an appointment type. Go to Appointment Types and open the one you want to configure.
  2. Set the location to Online meeting. In the Location section, choose Online meeting.
  3. Enable “Auto-create Zoom meeting.” A toggle will appear if your Zoom account is connected. Turn it on. When enabled, Wellbooked will skip the manual meeting link fields and instead create a fresh Zoom meeting for each confirmed booking.
  4. Save the appointment type.

What happens when a booking is made

  • A unique Zoom meeting is created on your Zoom account with the booking details (topic, date, time, and duration).
  • The Zoom join link is included in the confirmation email sent to both you and your guest.
  • The join link appears on the booking detail page in your dashboard and on the guest's confirmation page.
  • If you use Google Calendar, Outlook Calendar, or another synced calendar, the Zoom link is added to the calendar event.

What happens when a booking is cancelled

When a booking is cancelled by either the host or the guest, the associated Zoom meeting is automatically deleted from your Zoom account. No manual cleanup is needed.

Data and Permissions

Wellbooked requests the following Zoom permissions:

  • user:read:user— used once at connection time to read your Zoom email address (shown as the connected account), along with your Zoom user and account IDs, which we store only so we can honor Zoom's deauthorization webhook if you uninstall the app. No other profile data is accessed or retained.
  • meeting:write:meeting— used to create meetings when bookings are confirmed.
  • meeting:delete:meeting— used to delete meetings when bookings are cancelled.

Wellbooked stores your Zoom OAuth tokens securely in our database with row-level security. We store each meeting's ID and join URL on the corresponding booking record. We do not access your existing meetings, recordings, chat messages, or any other Zoom data.

Disconnecting Zoom

  1. Go to Integrations. Navigate to the Integrations page from the sidebar menu.
  2. Click the disconnect icon on the Zoom card. A confirmation dialog will ask you to confirm.
  3. Confirm the disconnection. Your Zoom OAuth tokens are immediately deleted from Wellbooked's database. Any appointment types that had “Auto-create Zoom meeting” enabled will fall back to showing the manual meeting link fields.

Existing bookings that already have a Zoom meeting link will retain that link for reference, but Wellbooked will no longer be able to manage (e.g. delete on cancellation) those meetings after you disconnect.

You can also revoke Wellbooked's access from the Zoom side by visiting your Zoom App Marketplace → Manage → Installed Apps page and removing Wellbooked.
